Roseburg: Open Enrollment

Project Description

Open enrollment is an important time every year when individuals can review, assess, + modify their existing benefits or enroll in new ones for the following year.

Roseburg’s open enrollment period lasted just under a month each Nov., giving employees the time to evaluate life insurance coverage, update health insurance to meet evolving medical needs, or sign up for new health savings + spending accounts. Understanding how open enrollment works is essential for employees to make informed choices about benefits + insurance coverage, + in collaboration with Roseburg’s Benefits team, I developed + delivered a robust yearly campaign for three years to ensure Roseburg’s entire employee base (3,000+ employees across 10+ locations throughout North America) recieved updated instructions + became informed of yearly changes, important deadlines, where to find more information, + how to get any + all questions answered.

Work Involved

The Benefits team + I met on a weekly basis to strategize our projects throughout the year + make sure we stayed on track with company goals. I regularly participated in brainstorming + providing feedback on any/all relevant communications aspects of the team’s many projects.

For Open Enrollment, the goal was to spread awareness as effectively + diversely as possible. To ensure we reached our varied audience composed of admin/office team members, operations team members (who worked in plants/ timberlands + did not have regular phone or computer access), as well as their families, we took a multifaceted comms approach utilizing multiple avenues:

  • Emails + online messaging
  • Virtual training sessions
  • Manager talking points
  • Posters + TV monitor display slides
  • Mail postcards + company-wide texts
Rebrand Approach

Our “campaign” was structured to send high-level, companywide notices at (1) the start date of Open Enrollment, (2) halfway through, + (3) the final day/ last reminder, with additional targeted messaging sent out by the Benefits team peppered throughout. In 2022, I spearheaded a campaign re-brand in order to give it a clean, more consistent + recognizable brand identity that was built to last.
